If there is a possibility that we may be late, let's communicate that to the other participants, and arrange for materials to be provided to others who will arrive on time. This is an important morale issue, as well as showing respect for those volunteers who make the effort to protest the cruel treatment of animals. But even more so when it's an outreach/activist type event, because those typically have a smaller support base. I agree, it is crucial to respect our peers who our sharing their time to make a difference for the animals. I like to have co-organizers for events whenever possible, and I also will exchange cell phone #s with volunteers.
