TCM Practice Management: Credit Card Processing Providers

Hi,

 

I'm planning on accepting Credit Cards in my new practice, and now I

have to wade though the swamp known as Credit Card Processing

Providers (CCPP). Can anyone provide names of reputable CCPP, that

have low rates, NO HIDDEN CHARGES, and good support.

We have been very happy with our switch to Element Payment Services,

Inc. who can be reached at 1-866-435-3636. They are based in Phoenix,

Arizona. Not only are they cheaper (cut out one layer of middle man),

they are faster (cut out one layer of middleman) in the processing of

each individual transaction (transaction clears much faster, less

waiting for the ticket to print).

 

They approached us after watching our activity for severalmonths and

seeing that we NEVER have chargebacks or disputed charges.

I found the best way was go ask your bank manager who they recommend. Banks are

a very under utilized resource.

They all play their games. Most banks go through the same companies as the

small guys who represent merchant services. I have had the best luck with

RBS Lynk, but I still have problems with them. They mess up all the time,

but fix it and refund in a timely manner. I have to stay on my toes with

them.

 

The biggest watch out for is the cancellation fee. One company messed me up

so badly in my set up that I cancelled them before I started service. They

pulled $500 plus monthly fees out of my account. It took me 2 months to get

my money back.

 

Whichever you go with, take the time to check your statement carefully each

month.

also in the same process right now. BofA seems pretty good and I got a

good rec. for them. I got all their rates and they seemed ok but if

there is some real hidden fees I'm not sure. It is frustrating trying

to skunk out those fees. Costco also has a decent program that was

rec. to me. At least with bofa it goes direct into your merchant

acount. and be sure to ask for them to waive the $95 set-up fee since

you're opening an account with them. They did it for me and so you

have the leverage to ask. bofa doesn't require a contract. I can't

remember if costco does. You get killed worse on the machine.

If you always have internet access, then you can get a Paypal account. I did

this while my

card machine was being set-up. Basically you go to a web-site and put in the

card

numbers and you get credited. It was good and given the problems I've had with

the CCCP

then it seemed even better. I would find the name of a good agent in your area

who will

set up your account. We had one who was obviously working parttime, lived far

away and

it was a drag when she needed to come in to change the machine.

Actually my bank was just about the most expensive option; there usually is a

minimum you have to accure in fees every month or pay the difference. The basic

requirement is in the high teens (about $18); if you ring up a lot, that's not a

big issue, you meet it anyway, but if you are a start up, the minimum fee is the

principal expense.

Agree. That's what I did. The beauty of it is there are no set up

fees, no monthly fees, and you can accept every credit card, debit

card, e-checks, you name it. You don't pay a penny unless you are

making money.

Let me correct the concepts here. The Paypal is separate from the CCCP

type card payments. Paypal is an entirely web oriented service from

set-up to payment.

A CCCP usually requires a person (agent) to come to your office and

set it up and also to sometimes come out and manage your machine. That

machine is usually pretty costly.

When my agent was out for a week I called the company and they bilked

me an additional service charge. Also watch out for American Express

piggybacking on your machine. They started charging me even when I

hadn't signed up for AE and had to call them to stop it and demand a

refund. Jerks. (time for Xiao Yao)

The disadvantage is if you are in an office without the internet, must write

The fees for PayPal are quite expensive when compared to other online

payment processors. There fees vary from country to country, in the UK there

is no monthly fee but PayPal takes around 3-4% per transaction. Google have

just launched Google Checkout, a new online payment processor that will

compete directly with PayPal and offer cheaper fees.

 

If you're gonna take c/c, which is necessary in most clinics nowadays, the

best way is to do it through your bank.

I do capture (dial the numbers into my phone) with RBS Lynks. They charge me

$10 per month service charge and 4.5% for each charge with no minimum. I

take the cards on occasion but let my patients know I prefer a check or

cash. Most all comply. I am set up for MC, Visa and Amex.

 

American Express sent me out a letter 2 weeks ago stating that I had to sign

up for on line statements or they would charge me $4.95 per month to mail

out a paper one. I went on line and did as they requested since I haven't

even taken one of their cards. BANG! They got me for $5.95 service charge. I

called to find out why and they said it was because I was inactive for 6

months. Yes, they gave me a refund but what will they think of next?

It's pretty simple. Like buying something on line. At the end of the treatment

you punch in

their CC numbers at a web-site and you get credited to your account. (these are

paypal

accounts, which are most convenient if you buy stuff on line alot). You can

either print them a

receipt and/or have an email receipt sent to them.

 

It's not perfect but its a quick and low-cost way to get payments through credit

cards.

does anyone use card readers for internet processing? apparently they will

attach to a laptop and you just swipe. i'm wondering which of the various

readers available are the most realiable, and from where to get them?
